Plain-language summary
VerifyX helps businesses capture, organize and check digital payment receipts. We use information only to operate, secure and improve that service, support users, meet legal obligations and prevent duplicate or fraudulent receipt use.
You can review your account, correct details, control optional AI-assisted processing and permanently delete your login inside the app.
VerifyX checks receipt evidence. It is not a bank, wallet, lender or money-transfer service.
They may contain names, account fragments, amounts, dates and transaction references. Submit only receipts you are authorized to process.
When standard QR, OCR or provider checks are inconclusive, an enabled AI provider may read the submitted image to recover the issuer, link or reference. AI never independently approves a payment.
No sale or behavioral advertising. TECHNOVA does not sell personal information, use receipt contents for behavioral advertising, or permit receipt images to train VerifyX models without separate, explicit consent.
Terms of Use
These Terms of Use (“Terms”) form an agreement between you and TECHNOVA, Addis Ababa, Ethiopia (“TECHNOVA,” “VerifyX,” “we,” “us” or “our”). By creating an account, accessing or using VerifyX, you agree to these Terms. If you use VerifyX for a business, you confirm that you are authorized to bind that business.
1. Eligibility and accounts
- You must be at least 18 years old and legally able to enter an agreement.
- You must provide accurate registration and business information and keep it current.
- You are responsible for safeguarding passwords, devices and access to your account, and for activity performed through authorized employees.
- Notify us through in-app Feedback or Support if you suspect unauthorized access.
2. What VerifyX provides
The service offers receipt capture, optical text and QR recognition, provider identification, receipt verification where a supported provider makes verification possible, duplicate detection, business/employee access controls, reports, notifications, offline queues and related administrative tools. Features may vary by provider, subscription, device, region and network availability.
Important verification limitation. “Verified” means the available evidence matched the checks performed at that time. It is not a guarantee by a bank, a guarantee of payment settlement, financial advice, or protection against every forged, reversed, refunded or disputed transaction.
3. Your responsibilities
- Confirm that a receipt relates to your business before relying on it.
- Use receiving-account and employee controls carefully and remove access promptly when roles change.
- Obtain any consent or lawful authority needed to upload receipts or personal information belonging to another person.
- Keep independent financial and accounting records. VerifyX reports are operational aids, not official bank statements or tax records.
- Use current, lawful software and a secure device and connection.
4. Acceptable use
You must not use VerifyX to:
- submit fabricated, altered, stolen or unauthorized receipts;
- commit fraud, money laundering, identity theft or any illegal activity;
- probe, bypass, overload, reverse engineer or interfere with the service, security controls, rate limits or provider connections, except where law expressly permits;
- access another user’s or business’s information without authorization;
- upload malicious code, unlawful content or information that infringes another person’s rights;
- resell, scrape or systematically extract VerifyX data without written permission.
5. Business trials and subscriptions
VerifyX is a business-to-business service offered to organizations and their authorized owners, administrators and employees. It is not sold as a consumer, single-user or family subscription. Some functionality may require a trial or an active organizational entitlement. On Apple platforms, the app is intended to let authorized users access an entitlement previously acquired by their organization; it must not use an external payment mechanism inside the app to unlock consumer digital functionality. Where a distribution platform requires its own purchase system, VerifyX will use that system or make the purchase flow unavailable on that platform. Plan limits, duration and availability may change over time. For plan questions, contact VerifyX Support on Telegram.
6. Third-party services, providers and brands
VerifyX may interact with supported banks and telecom/payment providers, Google ML Kit and Firebase, SMS and hosting suppliers, and—only for an enabled AI-assisted fallback—the configured AI processor. Available AI processors can include OpenAI, L.L.C.; Mistral AI SAS; Google LLC (Gemini); Anthropic, PBC; Groq, Inc.; OpenRouter, Inc.; or an administrator-configured compatible processor. The currently configured processor can be identified through the business administrator or VerifyX Support. These services are independently operated and governed by their own terms and privacy practices. Bank and provider names or logos are used only to identify the source of a receipt or supported verification route; they do not imply sponsorship or endorsement, and all third-party marks remain the property of their owners.
7. Ownership
TECHNOVA owns VerifyX, its software, design, trademarks and documentation. You retain rights in information you submit. You grant us a limited license to host, process, reproduce and transmit that information only as needed to provide, protect and improve the service and comply with law.
8. Availability, changes and suspension
We work to keep VerifyX available but do not promise uninterrupted operation. We may maintain, change or discontinue features, add supported providers, correct errors or apply reasonable limits. We may suspend or terminate access for security threats, nonpayment, prohibited use, legal requirements or material breach. Where practicable, we will provide notice.
9. Disclaimers and liability
To the maximum extent permitted by applicable law, VerifyX is provided “as is” and “as available.” We disclaim implied warranties of merchantability, fitness for a particular purpose and non-infringement. TECHNOVA is not liable for indirect, incidental, special, consequential or lost-profit damages, lost business, provider outages, inaccurate source data, user error or unauthorized account use. Nothing in these Terms excludes liability that cannot legally be excluded.
10. Indemnity
To the extent permitted by law, a business user agrees to defend and indemnify TECHNOVA from third-party claims arising from its unlawful receipt processing, misuse of the service, breach of these Terms or violation of another person’s rights.
11. Governing law and disputes
These Terms are governed by the laws of the Federal Democratic Republic of Ethiopia, without regard to conflict-of-law principles. Before filing a claim, please contact us and allow a reasonable opportunity to resolve the matter. Courts with lawful jurisdiction in Addis Ababa may hear unresolved disputes, unless mandatory consumer law requires otherwise.
12. Changes to these Terms
We may update these Terms as the service or law changes. The effective date and version at the top will be updated. Material changes may also be communicated in the app or by notification. Continued use after the effective date means you accept the revised Terms, where permitted by law.
Privacy Policy
This Privacy Policy explains how TECHNOVA processes information when you use VerifyX applications, websites, APIs and support channels. TECHNOVA is the service operator and data controller for account-level processing. A business using VerifyX may separately be responsible for how it directs employees to process customer receipt information.
1. Information we collect
| Category | Examples | How obtained |
|---|---|---|
| Account and identity | Name, phone number, password verifier, language, role, status | Provided by you or your business administrator |
| Business and workforce | Business, branch, owner/employee relationships, receiving-account details and access settings | Provided by authorized business users |
| Receipt and transaction evidence | Receipt image, OCR text, QR/link, provider, amount, date, reference, payer/receiver name and masked or full account details present in the source | Camera, system photo picker, QR scan, manual entry and provider responses |
| AI-assisted input and output | A resized copy of a failed or inconclusive receipt image, or unrecognized pasted confirmation text; a structured issuer, link and reference candidate returned by the configured AI processor | Only when AI fallback is enabled and the standard verification path cannot complete |
| Verification and report records | Verified, duplicate, receiver-mismatch, invalid or pending status; timestamps; attempts and audit records | Created when the service performs requested actions |
| Device and technical | Device model/name, operating system, app version, notification token, network status, IP address, security and diagnostic logs | Collected automatically during operation |
| Communications | Feedback, support messages, notification interactions and replies | Provided by you or generated from communications |
| Subscription information | Organizational plan, limits, status and subscription period | Associated with your business account |
2. Camera, gallery and offline processing
Camera access is used only when you choose to scan a receipt or QR code. Gallery selection uses the platform’s photo picker or permission-controlled library access. On-device recognition may process images locally using Google ML Kit before any network request. Pending receipts and recent operational information may be stored securely on the device so core screens can work offline and queued checks can synchronize later. Device data is removed through account deletion where applicable, app controls, or uninstalling the app.
3. Why we use information
- create and authenticate accounts and enforce roles;
- capture, classify, verify, deduplicate and report payment receipts;
- use optional AI-assisted reading only to recover an issuer, receipt link or exact reference when standard recognition or provider verification is inconclusive;
- provide offline queues, synchronization, organizational subscription limits and notifications;
- operate business, branch, receiving-account and employee controls;
- detect abuse, investigate incidents and protect users, providers and TECHNOVA;
- respond to feedback and support requests;
- maintain, troubleshoot and improve accuracy, reliability and usability without using receipt images to train VerifyX models unless separate explicit consent is obtained;
- comply with legal, accounting, audit and enforcement obligations.
4. Legal grounds and consent
Depending on the context and applicable law, processing is based on performing our contract with the organization, explicit consent for optional third-party AI processing and device permissions, our legitimate interests in operating and securing the service, compliance with legal obligations, and the legitimate instructions of a business that has authorized an employee to use VerifyX. AI consent is separate from camera or photo-library permission. A business administrator’s decision to enable AI fallback does not replace the receipt submitter’s permission where individual consent is required. You may decline or withdraw optional AI consent; standard QR, on-device OCR and official-provider verification remain available, but an inconclusive receipt may remain unverified.
5. When information is shared
We disclose information only as reasonably needed:
- Within your business: owners, administrators and authorized employees may see information according to roles and branch access.
- Receipt providers: identifiers or receipt links may be sent to the relevant bank, telecom/payment provider or configured verification route to answer your verification request.
- AI processor, only for enabled fallback: after standard processing is inconclusive, a resized copy of the submitted receipt image (which can visibly contain names, account details, amount, date and transaction reference) or unrecognized pasted confirmation text may be transmitted over HTTPS to the specifically configured provider: OpenAI, Mistral AI, Google Gemini, Anthropic Claude, Groq, OpenRouter or an administrator-configured compatible processor. The request also contains instructions describing supported receipt formats. The processor returns candidate text; it does not receive authority to approve, reject, credit or move money.
- Other service providers: hosting, cloud infrastructure, security, Firebase push notifications, SMS, diagnostics and support suppliers process limited information under contractual or legal controls.
- Legal and safety: information may be disclosed when required by law or reasonably necessary to protect rights, safety, service integrity or investigate fraud.
- Business change: information may transfer in a merger, financing, reorganization or sale, subject to continued protection and required notice.
We do not sell personal information and do not share receipt contents for cross-context behavioral advertising.
6. International processing
Our infrastructure or service providers may process information outside your region. Where required, we use contractual, technical and organizational safeguards intended to protect information during such transfers.
7. Retention
| Information | Typical retention approach |
|---|---|
| Active account and business records | While the account or business is active and as needed to provide the service. |
| Receipt, verification and audit records | For the business’s operational and audit needs and applicable legal or dispute periods. |
| AI provider request | Only as needed to return the requested reading and according to the configured provider’s API terms and data controls. OpenAI states that API data is not used to train its models unless the API customer explicitly opts in, and that default abuse-monitoring logs may be retained for up to 30 days. Other configured providers may apply different retention periods; current details are available from the provider or VerifyX Support. |
| Duplicate-prevention records | As needed for fraud prevention, receipt integrity, audit and legal obligations. |
| Security and server logs | For a limited operational/security period, extended only for an active incident or legal requirement. |
| Offline device data | Until synchronized, cleared by app controls/account deletion, or removed by uninstalling the app. |
| Backups | Until rotated through the normal protected backup cycle. |
We delete or de-identify information when no longer reasonably needed, unless law, fraud prevention, receipt integrity, security, establishment of legal claims or another legitimate requirement requires longer retention.
8. Security
We use safeguards designed for the sensitivity of the information, including HTTPS encryption in transit, access controls, authentication, role restrictions, secured hosting, monitoring, backup controls and limited personnel access. No service can guarantee absolute security. Keep your password and device secure and report suspected unauthorized access promptly.
9. Your choices and rights
Depending on applicable law, you may have rights to access, correct, delete, restrict or object to processing, request portability, withdraw consent and complain to a competent authority. You can update common profile details in the app, manage notification, camera and photo permissions in iOS or Android settings, decline optional AI-assisted processing, ask a business administrator to disable AI fallback, and submit other requests through in-app Feedback or Support. Withdrawing AI consent does not invalidate earlier lawful processing, but no new receipt should be sent to an AI provider under that consent. We may verify identity and authority before acting on a request.
10. Account deletion
VerifyX provides account deletion directly inside the app.
- Open Account from the bottom navigation.
- Open the account/profile settings and choose Delete my account.
- Enter your current password and type DELETE exactly.
- If you own a business, transfer ownership first or choose to delete the owned business and its associated operational information.
Deletion permanently removes the login. If you delete an owned business, its employees, branches, receiving accounts, receipts and settings are removed as described in the confirmation screen. Some payment, verification, security, backup or audit records may be retained where reasonably necessary for fraud prevention, reconciliation, legal compliance or claims, then deleted or de-identified when that purpose ends.
11. Children
VerifyX is a business service intended for adults and is not directed to children under 18. We do not knowingly create accounts for children. Contact us if you believe a child has provided personal information without lawful authorization.
12. Automated recognition and optional AI-assisted fallback
VerifyX first uses QR decoding, on-device or server OCR, deterministic parsing and the relevant provider’s official verification route. AI fallback is limited to failed or inconclusive recognition and verification attempts. It may read the original submitted image—not merely the device’s OCR text—to distinguish characters such as O/0, S/5 and I/1, identify the issuer and recover a visible receipt link or reference.
AI cannot verify a payment by itself. A candidate returned by AI must be checked again through VerifyX rules and the relevant official provider source. AI is not used after an authoritative result such as verified, duplicate or receiver mismatch, and it cannot credit an account, approve a receipt or move money.
Where an app version offers this fallback, VerifyX requires a clear in-app notice identifying the configured AI provider and the data to be sent, followed by the submitter’s explicit permission before the transfer. If permission has not been recorded, the receipt image must not be transmitted to the AI processor. The user can decline without losing access to standard recognition and provider checks. Results can still be affected by image quality, provider availability, model error and source-data error, so users should review the receipt and result and contact their business administrator or support if a result appears incorrect.
13. Notifications and communications
VerifyX may send operational notifications about account status, verification, security, organizational subscriptions, feedback and service changes. Notification permission can be changed in iOS or Android settings. Essential in-app notices may still appear when necessary to provide or secure the service.
14. Changes to this Policy
We may revise this Policy as the service, providers or legal requirements change. We will update the effective date and version above and provide additional notice for material changes where required.
